1. Scope and responsibility
This policy applies to the SCS Homeschool website, student accounts, examination registration and online tutorial enquiry services. SCS Homeschool is responsible for deciding how information submitted through these services is used.
2. Information we collect
Student account information
Registration may collect first name, optional middle name, family name, birthday, address, country, mobile number, email address, profile photograph, grade level, password hash, policy-acceptance record and account timestamps.
Learning and administration information
We store examination registrations and changes made to a student record by the student or authorised master administrator.
Tutorial enquiries
The tutorial form collects the sender’s name, email address, subject and message. Please do not submit passwords, government identification numbers, payment-card details or unnecessary sensitive information.
Security and technical information
The website uses an essential session cookie. It may temporarily process an IP address and submitted account identifier to prevent automated submissions and repeated sign-in attempts. Persistent rate-limit records use one-way hashed identifiers rather than storing the submitted value in plain text. Hosting error logs may also record ordinary request information.
3. How we use information
- To create, authenticate and maintain student accounts.
- To show the correct grade and examination registrations.
- To let authorised administrators manage school records and content.
- To answer online tutorial enquiries.
- To prevent fraud, abuse, unauthorised access and technical failures.
- To meet applicable legal obligations and protect users or the service.
4. Children and parental responsibility
SCS Homeschool is intended for learners, including children. If a learner cannot legally provide consent in their country, a parent or legal guardian must create or approve the account and supervise its use. The person submitting registration confirms that they have authority to provide the learner’s details.
5. When information is shared
Information may be processed by hosting, database and email-service providers that support the website. It may also be disclosed when required by law, to protect a person’s safety, or to investigate misuse. We do not disclose private student profiles publicly, and profile photographs are delivered only after an account-access check.
6. International processing
Online services and their providers may process information in countries other than the learner’s country. Where this occurs, we use reasonable contractual, organisational and technical safeguards appropriate to the service.
7. Retention
Student records are kept while the account is active and for a reasonable period needed for administration, security or legal obligations. Tutorial messages are retained only as long as reasonably needed to answer and manage the enquiry. Rate-limit records are designed to expire from active use within their short security window and are periodically deleted. Back-ups and hosting logs may remain for their normal limited retention periods.
8. Security
Controls include password hashing, encrypted website connections, secure session cookies, role-based access, CSRF protection, prepared database queries, restricted file types, content-based upload checks, random stored filenames, submission throttling and browser security policies. No internet service can promise absolute security, so users should choose a unique password and keep it private.
9. Your choices and rights
A student can review and correct most profile information from the dashboard. Grade changes and account deletion require the master administrator. Depending on applicable law, a learner or guardian may ask to access, correct or delete information, object to certain processing, or withdraw consent where consent is the basis for processing.
10. Cookies and tracking
The website uses an essential session cookie for sign-in, CSRF protection, human-check challenges and security controls. The current website does not use advertising cookies or third-party analytics trackers.
11. Changes and contact
We may update this policy when the service or legal requirements change. The effective date and version will be revised when material changes are published. To ask a privacy question or make a request, use the Tutorials contact page and clearly write “Privacy request” in the subject.
